We collect contact and vehicle information you provide at check-in (name, phone, email, vehicle details, concern) so we can diagnose, estimate, repair, bill, and communicate about your visit.

SMS: transactional texts from +1 (864) 332-7145 are sent only with optional consent (unchecked SMS checkbox on check-in, or clear verbal consent). Transferring keys alone is not SMS consent. Reply STOP to cancel, HELP for help. Details: /sms.

TotalBay software — Privacy Policy (for shops using TotalBay)

This section covers TotalBay, the shop software provided by Fastbay Automotive (TotalBay). Each repair shop using TotalBay is responsible for its own customer relationships; the shop's own privacy notice (like the one above for Fastbay Automotive) applies to its customers.

What data

• Shop account data: shop name, contact details, staff names and logins, billing contact, subscription status.
• Shop Data the shop enters or collects: customer names, phone numbers, emails, addresses, vehicles (VIN, plate, mileage), work orders, estimates, invoices, photos, voice notes, call recordings and transcripts (if phone features are on), text and email messages, and consent records.
• Technical data: IP addresses, device/browser info, and logs used for security, rate limits, and troubleshooting.

How we use it

To provide TotalBay to the shop (messages, estimates, payments links, scheduling, phone answering), keep it secure, back it up, provide support, and bill the shop. We do not sell personal information and do not use Shop Data for advertising.

Service providers (processors)

We use carefully chosen providers to run TotalBay, each only for its function: cloud hosting and storage; SMS and voice-calling providers; an email provider; AI model providers (for photo analysis, drafting, and phone conversations); payment processors (for the shop's TotalBay subscription, and the shop's own processor for its customers' payments); and vehicle data / parts catalog services the shop connects. Providers may process data in the United States.

Retention

Shop Data is kept while the shop's account is active. After cancellation it is kept for 90 days for export or reactivation, then deleted; backups roll off within a further 35 days. Logs are kept up to 90 days. Records may be kept longer where the law requires.

Deletion and access requests

A shop can export its data anytime and can ask us to delete it. A shop's customer who wants their information accessed or deleted should contact the shop; we will help the shop respond. You can also contact us at [email protected] · (864) 332-7145.

Security

Staff logins, PINs for techs, private signed links for photos, encrypted connections, and regular backups. No system is perfectly secure; we will notify affected shops of a breach as required by law.
